What is a JIRA workflow?

A jira workflow keeps a track of the lifecycle of a particular issue. The workflow includes the collection of the transitions and statuses of the issue. Workflows in Jira help in modeling the organizational processes and also help in improving the progress of the tasks present in the system. Any specific change within an organization can be handled by the jira workflow.

Let us know how the jira workflow helps in the management of the business processes.

1. Task management: Jira workflow helps in the efficient management of the tasks. Jira includes task management that helps in handling the tasks faster on a small scale.

2. Project management: Sometimes, complex workflows will be needed for the management of large projects. For a better tracking of the tasks, you need to make use of the “ in progress” status. There are also additional statuses that can be used for efficient management of the tasks like review complete, awaiting approval, review in progress, etc.

3. Process management: The resolutions and the statuses will be included in the Jira workflow. For better management of the development and business processes, the process management workflow is the best suitable one.

Creating a Workflow in Jira:

Whenever you create a project by making use of a template, then there will be a default workflow which will already be attached. Among the multiple projects, most of them will make use of the simplified Jira workflows. These simplified jira workflows can be used and are sufficient when there is a need to track less number of statuses in a single project.

Along with the simplified jira workflows, Jira also includes the advanced workflows which further help in the tracking of many other issues in the Jira projects.

For the creation of a jira workflow, you can start from scratch or copy the workflows which are default, attached to the project.

You also need to make a note of a few things while handling the default workflows. There are some restrictions set up while using the default workflows. One of the examples is unable to update or edit any resolved issues. I think it is always better to start from scratch rather than using the default workflows attached to the project in Jira.

As the next step to check on, you also need to have the administrator permissions to start your working stage. The navigation is to go to the settings → Issues → Workflows → Add workflow. These options are available on the top right of your screen in the workflow designer tool. You can start naming the new and fresh workflow and map it.

It is also possible to make changes to the layout of the workflow or edit the layout in the workflow designer tool. You can also make changes to the transitions and statuses in the workflow.

Let us know the step by step process of creating a jira workflow.

Status: Status usually tells us about where exactly the issue is. Under review, in progress are some of the status that helps us identify. Each issue can have only one status for one issue.

If the status is under review, it means that there are some set of actions that have to be performed and are yet to be reviewed.

Assignees: The assignee entity represents who is responsible for the task or who has the issue assigned. As status changes, there will be changes in the assignees as the issue will undergo different statuses.

Once the issue is completed, there will not be any assignee and will be removed completely.

Transitions:  Transitions usually refer to the connection that exists between two statuses. It joins two different statuses and forms a transition.
For example, among the two stages called in progress and under review, there would be a transition called submit for review.

The transitions also help in notifying the parties whenever changes are made to the issue.

1. Resolution: resolution represents that the issue is no longer existing. If the issue is completed, this can be represented as a resolution entity. The resolution is generally the final state which can be complete, fixed or not fixed.

2. Conditions: Conditions tell us who can control and take action on the transition.

3. Validators: This allows for the transitions to take place only when the required information is provided.

4. Post functions: This entity comes up when there are any additional changes that take place to issues, which can be considered as alongside transitions. An example would be removing the resolution when the issue has been reopened.

5. Triggers: Triggers are used to represent the activation of the transitions automatically whenever particular events occur.

6. Workflow properties: This represents the setting up of properties for the transitions.

7. Workflow schemes: The workflow schemes helps in identifying the associations that exist between the work flow and the type of issue.
